Choosing new revenue cycle management (RCM) or patient billing software means evaluating the ability to deliver on its functional promise, fit existing workflows, meet regulatory requirements, and connect cleanly to the electronic health record (EHR) at the center of the operation. Ask what implementation looks like: who manages it, how long it takes, what is required from your team, and what testing happens before go-live. A vendor that goes live in 4-8 weeks operates at a different level than one quoting 6 months and a dedicated internal project manager.

10. Contingencies and Fallback Options

Even strong integrations occasionally fail. Sync errors, EHR upgrades, and edge cases happen. Ask whether the platform supports bulk uploads or manual corrections when real-time sync isn't an option, how the vendor handles EHR version upgrades, and what notice you'll get before a breaking change. The answer reveals how mature the integration really is.

11. Reviews and User Scores

Independent reviews can help verify vendor claims. Look for sources like KLAS, NPS data, Trustpilot, and platform-specific marketplaces to understand patterns in user experiences and reviews.
